Policy Overview

The Vientiane International Marathon (VIM) has established clear policies regarding registration cancellations, refunds, and entry transfers. These policies are designed to ensure fair treatment of all participants while maintaining the operational integrity of the event.

We encourage all participants to carefully consider their commitment before registering, as our policies are strictly enforced.

Refund Policy

No Refunds

After registration, there will be no fee refund for a Participant who does not eventually take part in the VIM, for any reason whatsoever.

This policy applies to all circumstances including but not limited to:

  • Personal schedule conflicts
  • Injury or illness
  • Travel or visa issues
  • Change of mind
  • Family emergencies
  • Any other personal reasons

Entry Transfers

No Transfers Allowed

Participants cannot transfer their race entry to another person under any circumstances.

Race bibs are non-transferable for safety and insurance purposes. Running with someone else's bib is grounds for disqualification and may result in being banned from future events.

Category Changes

Category Change Deadline

Race category modifications are permitted up to 4 weeks before race day. After this deadline, no category changes will be accepted.

Category Change Rules:

  • Requests must be submitted in writing via email
  • Upgrading to a longer distance may require an additional fee
  • Downgrading to a shorter distance will not result in a refund
  • Subject to availability in the requested category

Late Start Policy

30-Minute Late Start Rule

Participants who fail to begin within 30 minutes of their designated start time will be disqualified.

For safety reasons, late starters may be prohibited from participating entirely. This policy ensures:

  • Course safety for all participants
  • Timely road reopening for traffic
  • Fair competition for all runners
  • Proper medical support coverage

Event Cancellation

In the unlikely event that VIM is cancelled due to circumstances beyond our control (force majeure), the organizing committee will:

Defer Entry

Transfer your registration to the next year's event at no additional cost

Partial Refund

Receive a partial refund minus administrative and non-recoverable costs

Virtual Option

Participate in a virtual race format if offered as an alternative

Force majeure includes but is not limited to: natural disasters, pandemics, government restrictions, civil unrest, or other events beyond reasonable control of the organizers.
